ARchitect Best Practice
 

Recent statistics show that 171 billion email messages are sent each day. That means 2 million emails are being transmitted every second.  Email is arguably the most frequently used form of communication.   Managing email traffic can be a challenging task.  ARchitect™ functionality provides an easy process to help users track their email activity.

 
Tracking Emails with Interactions
 

If you email one or more analysts from your email program (Outlook, Lotus Notes, etc.) and send a blind copy to architect@ARInsights.com ARchitect™ will automatically generate an interaction based upon the email.

ARchitect™ checks for new emails every few minutes.  When an email is received that meets the criteria above, a new interaction with the type "Email" is created:

·         The subject of the email becomes the title of the interaction.  Think about this when you create the subject line wording or do a reply to an email.

 

·         The first 500 characters of the body of the email are placed into the description of the interaction as plain text.  The email itself is saved as an attachment with any embedded graphics as attachments. You should avoid sending long email threads or graphic signatures.

 

·         Recipients recognized as analysts (by email address) are all populated in the interaction.  This is great for emails to multiple analysts. 

 

·         Any recipients recognized as ARchitect™ users (by email address) are added as participants.

 

·         Any other recipients are added as other participants.

 

·         All attachments to the email are saved as attachments in the interaction. There is no limit to the size or type of an attachment. It is suggested to zip large files to avoid long upload wait time.

 

·         A summary email with confirmation of the generated interaction is sent back to the sender.
